One home for everyday files

Less Searching.
More Sharing.

Keep the working copy in one place and choose how people reach it.

Sync Across Devices

Use Nextcloud’s desktop and mobile clients to access your folders while you work from the office, home or on the move.

Share With Intention

Give a teammate access to a folder or send an external link. Choose permissions and expiry rules for the handoff.

Keep the Team Organised

Put project files beside the people and processes that use them, with Calendar and Contacts available as Nextcloud apps.

What teams can do

From File Drop to Final Version.

Practical ways to replace scattered attachments and unclear ownership.

Collect Client Documents

Send an upload link for a client to submit files to a chosen folder. Review and organise them with the project record.

Work Across Locations

Keep the same folder available through the browser and sync clients, with permissions for each team or role.

Coordinate Schedules

Use Nextcloud Calendar and Contacts if those apps are enabled for your workspace. Keep shared dates and details close to files.

Add Collaboration Tools

Explore Office or Talk when your team needs document editing or meetings. Confirm their deployment and resource needs first.

A better document handoff

One Folder. A Clear Next Step.

For example, a design team can keep a client project moving without emailing each revision.

01

Collect

The client uploads brand files into a project folder through a controlled link.

02

Work

The team uses the shared folder for drafts, references and the current approved version.

03

Share

The account owner sends a review link with the right access and expiry settings.

04

Keep

Finished work stays organised with the project rather than disappearing in an inbox.

Before your team signs in

Set Up the Workspace for Real Work.

Installation starts the service. A few operating decisions make it dependable day to day.

01

Choose Space and Capacity

Estimate file growth, version history and concurrent users. Add headroom for apps such as Office or Talk if you plan to enable them.

02

Set the Domain and Access

Use a clear workspace address with HTTPS. Create groups, assign permissions and decide how external links will be used.

03

Connect Devices and Jobs

Install the clients your team uses and verify file sync. Check that background jobs run on a reliable schedule.

04

Protect and Recover

Confirm the backup scope for files, database and configuration, then test a restore before important work depends on the workspace.

Nextcloud hosting FAQs

Make File Sharing Work for Your Team.

Practical answers on storage, devices, permissions and recovery.

What can our team use Nextcloud hosting for?

Our Nextcloud hosting gives your team a shared file workspace. Keep project folders in one place, give colleagues access and send clients a link instead of another attachment.

Start with files and sharing, then consider extra apps as your needs grow. Our current plans show the resources and service features available for your workspace.

How much storage should we choose?

Count your existing files, then allow for growth and retained versions. The size of today’s shared folder is only the starting point.

  • Measure current project folders and large media files.
  • Estimate monthly uploads and how long projects stay active.
  • Leave space for deleted-file retention and version history, where enabled.

Keep backup capacity in your wider storage plan and confirm whether backup copies use the same allocation. Review usage after the first month of real work.

Can we install unrelated software on this plan?

This offer is prepared for a Nextcloud workspace. For a server where you install and administer your own mix of applications, compare our VPS hosting.

Can clients upload files without seeing the whole folder?

Use a File Drop link when you want to collect documents. It lets the recipient upload into a folder without browsing its existing contents, when this sharing option is enabled.

  1. Create a folder for the handoff.
  2. Choose an upload-only link and set the available protection options.
  3. Test it in a signed-out browser before sending it to the client.

The sharing guide explains the available link types.

How do we control who can view or edit files?

Share with named users or groups and choose the permissions for the work. A colleague preparing a document may need edit access; a client reviewing it may only need to view it.

Public links are a separate access path. Review their passwords, expiry and permissions where enabled, and remove them when the handoff ends. Check folder-level sharing too, since access can come from a parent folder.

Can we use the same files on laptops and phones?

Yes. The desktop client can keep selected folders synchronised with your server. Mobile apps let you browse and work with files, with download, offline and upload behaviour depending on the platform and settings.

Do not assume a phone mirrors folders exactly like a desktop. Test the actions your team needs: opening a shared document, uploading a photo and accessing a file without a connection.

See the client guide for platform differences.

Can we edit documents together or hold video meetings?

Nextcloud Office and Talk provide collaboration options, but their availability depends on installed services, configuration and hosting capacity.

Confirm the chosen plan supports the tools you need before planning around them. For document editing, test your actual file formats. For meetings, test a typical call with the expected participants and network conditions.

How should we move our existing files?
  1. List the folders, owners and people who need access.
  2. Move a small test project first.
  3. Compare file counts, open representative files and check permissions.
  4. Move the remaining folders in batches, with a clear point at which the team starts using Nextcloud.

Keep the original copy until the migration is verified. Existing sharing links and permissions may need to be recreated.

Is synchronisation the same as a backup?

No. Sync keeps working copies aligned, so a deletion or unwanted edit can also spread. A separate backup gives you a recovery path beyond the active workspace.

A full recovery needs the files, database and configuration, plus relevant custom apps or themes. Confirm backup frequency, retention, storage location and who handles restores for your plan. Test recovery before the workspace becomes essential.

Use the backup guide when defining the recovery scope.

What happens when two people change the same file?

Ordinary file sync is different from live collaborative editing. Overlapping changes can create a conflict that someone needs to review.

For files that are not being edited through a configured collaboration service, agree who is working on them and let sync finish before handing them over. If a conflict appears, compare both copies and keep the intended changes before removing either one.

Who manages users, updates and day-to-day maintenance?

Your workspace administrator should own users and sharing: adding people, reviewing groups and removing access when roles change.

Confirm the hosting plan’s scope for server updates, monitoring and backups. Keep a named owner for checking warnings and background jobs, and test sign-in, sharing and clients after significant changes.

Can our workspace use our own domain?

A dedicated address such as files.example.com makes the workspace easier to recognise. Confirm the domain-mapping process for your selected plan before changing DNS.

  • Set up the agreed hostname and HTTPS certificate.
  • Verify that the address is accepted by the Nextcloud configuration.
  • Connect clients using that final address and test a share link.
